Services

What we build, and what it needs from you.

Four systems. Each one does a single job and hands over cleanly to the next. Most businesses start with capture and reply, then add booking and follow-up once those are settled.

01 · Capture

Every enquiry in one place.

Nothing gets lost in a voicemail, a spam folder or someone’s personal phone.

Each source is connected to a single list. Missed calls trigger a text straight back to the caller, so a call you couldn’t take still becomes a conversation.

Connects to
  • Contact forms on your website
  • Your business phone line, through a forwarding number that records missed calls
  • Shared inboxes on Gmail or Microsoft 365
  • Facebook and Google lead forms
  • Directory and quote sites that email enquiries to you
You get
  • One list of every enquiry with its source, time and contact details
  • An automatic text to anyone whose call you missed
  • A record of what happened to each enquiry afterwards
You provide
  • Access to your website forms and the inboxes enquiries arrive in
  • Permission to set up call forwarding on your number
  • A list of everywhere enquiries come from today, even the odd ones

02 · Reply and qualify

A useful reply within minutes.

The customer hears back while they’re still looking, and you only spend time on enquiries that fit.

An AI model reads each enquiry and checks it against rules you set: area, job type, timescale, budget. It replies by text, email or WhatsApp in wording you’ve approved and asks the questions you’d ask on a first call. Anything it isn’t sure about goes to a person, with the conversation so far.

Connects to
  • SMS from a dedicated business number
  • Email from your own domain
  • WhatsApp Business
  • The capture system above
You get
  • Reply templates written with you and approved by you
  • Qualifying rules in plain English that you can change
  • A handover message whenever a person needs to step in
You provide
  • The questions you ask on a first call
  • Your service area, and any prices or ranges you’re happy to give in writing
  • Anything the system must never say
  • An hour to read and approve the replies

03 · Booking

Calls and visits in your calendar.

Qualified leads pick a real slot without a round of phone tag.

The system reads your live availability, offers a small number of times with travel buffers built in, and books the one the customer picks. Confirmations and reminders go out on their own.

Connects to
  • Google Calendar or Outlook
  • Calendly or Cal.com, if you already use them
  • Job management software, where it allows outside bookings [confirm which tools you support]
You get
  • Slots offered from your real availability, never double-booked
  • Confirmation and reminder messages
  • Notes from the conversation attached to each booking
You provide
  • Access to the calendars that matter
  • Appointment types, how long each takes and your working hours
  • Rules about when you don’t take bookings

04 · Follow-up

Chased until it books or says no.

Quotes and quiet leads get followed up on a schedule, without anyone having to remember.

A short sequence of messages, spaced the way you choose. It stops the moment someone replies, and hands back to the reply system or to you. When a lead goes cold it’s closed with a reason, so you can see why work was lost.

Connects to
  • The three systems above
  • CRMs such as HubSpot or Pipedrive
  • A shared spreadsheet, if that’s what you use
You get
  • A follow-up sequence that stops as soon as someone replies
  • A daily or weekly summary of what’s open, booked and closed
  • Lost leads marked with a reason
You provide
  • How many follow-ups feel right, and how far apart
  • The tone you want
  • When a lead counts as closed

Costs

How pricing works.

[Placeholder: your pricing model, for example a fixed fee for the audit and build, then a monthly fee for maintenance.]

Some systems need third-party accounts, such as a phone number, a messaging service or an AI model. These are set up in your name and billed to you directly, so you can see exactly what you’re paying for and keep them if you ever stop working with us.

Not sure which you need first?

That’s what the first call is for. Bring a rough idea of where your enquiries come from and we’ll take it from there.
